How To: Set Up DriveWorks Security

This topic discusses various scenarios that affect how specifications can be viewed by users logged in to a DriveWorks Module that has access to the Specification Explorer.

To apply these scenarios the group must consist of some users and at least one team as defined in the  Security Settings section.

Allow users of a team to view their own specification history.

To enable each User in a Team to only view their own specifications:

  1. Launch DriveWorks Administrator and open the Group this setting is to be applied.
  2. Select Stage 1: Group Setup > Security Settings from the task explorer.
  3. Locate and select the Team for which the setting is to be applied from the main window.
  4. Click Edit from the command bar to launch the Edit Team dialog.
  5. From the dialog ensure the General tab is active , and uncheck the setting Members Can View & Edit All Specifications.

Allow a user to view the specification history of the entire team.

To enable a User in a Team to view all specifications made by the Teams to which he belongs:

  1. Launch DriveWorks Administrator and open the Group this setting is to be applied.
  2. Select Stage 1: Group Setup > Security Settings from the task explorer.
  3. Locate and select the User for which the setting is to be applied from the main window.
  4. Click Edit from the command bar to launch the Edit User dialog.
  5. From the dialog ensure the General tab is active , and check the setting Team Leader.

Prevent users of a team from performing an action on a specification.

The actions that can be performed on a specification from the Specification Explorer are shown once a specification is selected.

Preventing Teams from performing an action is applied through the Specification Flow of each project this is a requirement for:

  1. Launch DriveWorks Administrator, open the Group and Project this setting is to be applied to.
  2. Select Stage 5: Specification Control > Specification Flow from the task explorer.
  3. If the default specification flow is being used click Customize Specification from the command bar. If the specification flow is already customized (Customize Specification will not be available for selection from the command bar) continue to the next step below.

Each paused state within your specification flow will have Operations applied that then appear as Actions in the specification explorer. Identify the paused state or states where the Action appears and:

  1. Select the paused state (which will be red in color) and click the Edit... link in the lower left corner of the state icon, this will launch the Edit State dialog.
  2. Right click the Operation, which the user is to be prevented from performing, from the State Items field, and select Edit Teams.

  3. We now need to set all members that will have permission to perform the action. In the Edit Teams dialog deselect the Owner option and then add the Teams by selecting from the list on the left and clicking Add to send to the list on the right.

Repeat steps 5 to 6 for all other Operations this is required for.

Repeat Steps 4 to 6 for all other States this is required for.

  1. When done click OK to close the Edit Teams dialog and click OK on the Edit State dialog.

The Specification Explorer shows the history of all specifications made through DriveWorks.

Once a group is open it is available from the following DriveWorks modules:

  • DriveWorks Administrator - From the Task Explorer under Stage 2 (or Stage 6 with a project open): Specification > Specification Explorer.
  • DriveWorks User - From the Task Explorer under Stage 2: Specification > Specification Explorer.
  • DriveWorks Autopilot - From the Task Explorer under Stage 2: Specification > Specification Explorer.
  • DriveWorks Live (Web Theme) - From the History link (via the Specification History module)
  • DriveWorks Live (App Theme) - From the Task Explorer by clicking the Specification Explorer link.

New specifications can be created from the Specification Explorer of DriveWorks Administrator, DriveWorks User and DriveWorks Autopilot.

Control over which users can view the history of their own and other users is granted from Stage 1: Group Setup > Security Settings of DriveWorks Administrator.

The Actions that can be performed on a selected specification are applied through the Specification Flow (Stage 5: Specification Control) of DriveWorks Administrator.
